Define what ready to open means

The design would set a clear handover point between enquiry handling and matter work. Staff would confirm the accepted instructions, client identity, responsible lawyer and the checks the practice requires. Missing information would remain visible with an owner. An enquiry reaching a particular stage would not, by itself, authorise a matter to be opened.

Transfer a complete working package

After approval, the process would carry the necessary details and document references into matter setup, then verify the result. The design would also provide a route for corrections and reopened enquiries. Whether the handover used configuration, a tested integration or a staff checklist would depend on the selected systems and the practice's requirements.

The practical lesson

Agree the handover condition before automating the handover. A change of stage is not a substitute for the required checks.
